Work provides default document templates like Quotes, Job Cards, and Invoices, which an Admin can choose from. If your company requires changes such as adding new fields, rearranging columns or removing information, Admins can do that too, and tailor the template to fit their business. For example, Admins may want to customize their Job Cards (i.e. work orders) when their business has multiple Job Types such as plumbing, electrical or HVAC.
Updating the Document
From Settings, select Document Templates then select the document that needs updating i.e. Quotes, Jobs Cards or Invoices.
For each document type has a specialized list of available Merge Fields that are used to pull data directly from Work to be placed on the template. To access that list, select here at the end of the first paragraph.
Note: MS Word is the only format that can be used for document templates.
To change an existing document, select Download to download the template into MS Word.
Note: Avoiding using WordArt, ClipArt, animated GIFs, interlaced PNGs, embedded files, and complex formatting.
Now Admins can make changes to the look of the document, rearrange information and add or remove information.
Note: Don't delete default merge fields “TableStart” or “TableEnd”
To insert a new Merge Field, position the insertion point where you want the field to be inserted. Select insert then selects Quick Parts and select Field from the drop-down menu.
From the pop-up select Merge Field then copy and paste Field Name from the Merge Field List then select OK.
The Merge Field will now appear on the template, now the template is ready to be uploaded back into Work.
To upload the new template, start from Settings then select Document Templates at that point select the document that needs updating i.e. Quotes, Jobs Cards or Invoices. Select Upload Template, assign Template Name and add a description if you like then select Save.
Once the template is uploaded, Admins can Preview the template to see what the template would look like with data on it and make it the default template.
